What is the difference with Zapier?

Zapier is ideal for straightforward links: when this happens, do that. As soon as a process branches, waits for a reply, combines several systems or needs logic of its own, you run into limits and rising costs. n8n is built for those more complex flows: unlimited steps, conditions, loops and custom code nodes, with the option to run everything self hosted.

When do I need n8n instead of a simple automation?

When your flow is more than a line between two tools. Think of several conditions deciding the route, data you have to transform or merge, steps that must wait for each other, or sensitive data that is not allowed to leave your own server. For a single notification that is overkill; for a process with branches and bespoke logic it is exactly right.

What does self hosted mean and why does it matter?

Self hosted means n8n runs on your own server or infrastructure, not on somebody else's platform. Your data and credentials stay inside your own environment, which matters for privacy sensitive processes. You are also not tied to the number of tasks or workflows a subscription allows.

Can AI be part of a workflow?

Yes. We use AI as a node inside the flow, for example to pull data out of a document, classify a message or draft a first version. The flow decides when the AI takes its turn and what happens with the result, so it never becomes a black box but stays a predictable step in the whole.

Can you move an existing Zapier or Make flow to n8n?

Usually yes. We first map what the current flow does, rebuild it in n8n with the same or better logic and test it alongside the old one before switching over. That way you lose no data or automations on the way.
